After your users have tracked time entries, admin roles can give allowance based on the tracked work. Admins can access the compensations page or the user list to do so. You can do so in the steps outlined below.
One compensation can apply (ie. compensate) multiple users and time entries. A user is compensated once his time entries in a period where compensated by an admin (and his allowance might have changed). A single compensation can only compensate into one allowance.
1.0 Go to the compensations screen and click on "New Compensation"
2.0 In the user list, select the users you want to compensate and click on "work time compensation" to start the bulk compensation for all selected users.
2.1 In the upcoming screen, select which allowance you want to compensate into and which period of time entries you want to mark as compensated. We will show you a warning should you select a period which has already compensated time entries in it.
You can now type in the desired allowance given to each user based on the columns shown for each user.
2.2 You can also use a compensation rule to calculate and fill the allowance for each user based on a column. This way you can, for example, admins can give each user 1.5 days of allowance for each hour of overtime. Once you apply the rule you can manually change the given allowance for each user if needed before saving the compensation.
Note: The column "Balance" refers to the total tracked time deducted from the total expected work hours (defined in user shifts). So this column ignores if an entry was created within or outside of the users shifts. To determine hours tracked inside and outside of schedules, refer to the other columns.
3. Save the compensation. Once the compensation has been saved, all users will have the given allowance added to their allowance. Also the time entries in the selected period will be shown with a compensation checkmark in the time sheet so employees know that an admin has already compensated this entry.
4. Users can make use of the Flexitime balance in the timesheet to determine how many additional hours have been collected since the last compensation.
