How to view your employees overtime in absence.io

You have two options to view your employees' recorded overtime in absence.io – depending on your role in the system and the permissions assigned to you.

 

1. Via the dashboard under the "Time Tracking" tab

If you have the HR, Admin, or Owner role, you can view your team’s overtime directly in the dashboard.
Make sure the option “This user can manage the working hours of other users” is enabled in the user’s basic data.

Here’s how it works:

  • Click on “Time Tracking” in the main dashboard menu.

  • You’ll now see a separate box for each employee.

  • Directly below the specified work location and next to the small clock icon, you’ll find the total sum of all accrued overtime hours from the “initial date” to the “end of day.” In the dashboard view, compensatory time off is also taken into account.

  • At the top, you’ll also find various filter options, such as time period.
    Important: This filter is intentionally highlighted in the image below, as it does not affect the overtime hours, but rather the target hours and the actual hours worked.

This overview helps you stay on top of your team's working hours quickly and easily – especially useful if you’re responsible for team time management.

2. In the "Reports" section under the Time Tracking overview

If you have permission to create reports, you can access a detailed overview of all overtime entries via the report module.

Here’s how:

  • Click on “Reports” in the top navigation bar.

  • On the right-hand side, select the “Time Tracking” tab.

  • Set the time range relevant to your query.

  • Under “Group by”, select “Period” to group the working hours accordingly.

  • In the “Overtime” column, you’ll now see all positive or negative overtime balances.

💡 Tip: If you want to see all users, you can also set a start date that is before their entry or start date. Time tracking will automatically begin from each person’s individual start date, so only relevant data will be included.

🔧 Customize columns: You can personalize the displayed columns anytime. Simply click “Columns” in the top right corner of the report to show only the information you need.

🔔 Important: If you've worked with employees who have compensatory time off, these hours will not be included in the report overview. For a complete evaluation, you can also generate a separate report for time compensations and compare it with the overtime overview. This way, you have all relevant data at a glance – clear and easy to understand.
